You can tell within ten minutes of walking into a session whether the room was designed or simply filled with furniture. People at the back crane their necks towards the screen. The desks are too narrow to hold a laptop and a notepad at the same time. The trainer struggles to move between rows that might as well be bolted down. By mid-afternoon, backs are slumping and attention has gone.
None of that is the fault of the content. It’s the furniture dragging the session down.
And yet furniture is almost always the last thing handled in a fit-out project, usually with whatever budget is left over. That’s a poor call, because furniture sets what a room can do and, more importantly, what it will never be able to do.
Rows facing a whiteboard announce a lecture. Nobody in that room is going to speak up unprompted. Clusters of four say the opposite: this is a place to work, produce, and argue things out. Experienced trainers know it, which is why so many of them turn up half an hour early to shift the tables themselves.
That’s exactly what a well-designed room should make unnecessary.
Face-to-face training has also changed purpose. The 2025-2026 figures from the ISTF barometer show a fairly settled split: 38% of programmes in-person, 37% hybrid, 25% fully remote. In-person is no longer shrinking. It has specialised. When someone travels to a session today, it isn’t to sit through something they could have watched on a call. It’s to handle equipment, debate, work alongside other people. A room in fixed rows can’t deliver that.
The first is repurposing meeting room furniture. A solid conference table is fine for a board meeting. It’s the wrong object entirely for a two-day session alternating theory and workshops. It will never be moved.
The second is undersizing the worktop. Below 70 cm per person, participants spend the day choosing between their laptop, their folder, and their coffee. That one detail irritates people more than anything else.
The third concerns the trainer. Plenty of projects lavish attention on the seating and forget the presenter’s station entirely. The result: a cluttered low table, no storage, connectivity out of reach, and someone spending the whole day looking for somewhere to put their things.
The table alone determines most of the layouts a room can support. Three criteria matter: weight, tabletop geometry, and the folding mechanism.
Tables on castors with flip-top surfaces can clear a room in minutes. Trapezoidal or curved tops cluster into islands without leaving dead space, something rectangles handle badly.

A stacking chair is cheap and easy to put away. It holds up for two hours. Beyond that, you can see it in everyone’s posture.
For a full day, it’s worth going a step up: a contoured back, at least 45 cm of seat depth, height adjustment. There’s no need for a full office chair with a synchronised mechanism, since training isn’t eight hours in front of a screen. Castors, on the other hand, genuinely change how a room is used. They make group rotations effortless, at the cost of stackability.
Mixing the two often works well. A base of mobile chairs for everyday use, plus a stock of stackables for high-attendance days.
A room that works has lockers for personal belongings, a mobile unit for teaching materials, and a charging trolley if tablets are involved. Flipcharts and mobile writable surfaces round it out. These items cost very little and stop the room becoming a dumping ground within six months.
Training furniture takes heavy, anonymous use. Nobody looks after it the way they’d look after their own desk. Durability is therefore as much a safety question as a financial one.
Two references frame the subject. EN 16139 sets out the safety, strength, and durability requirements for non-domestic seating, in its revised July 2025 edition (AFNOR). EN 15372 covers non-domestic tables. Writing both into a specification eliminates anything built for occasional use, with no argument required.

Hybrid delivery is now standard in large organisations. The 2025 Edflex Training Barometer reports that 65% of companies combine in-person and remote formats, up from 48% a year earlier.
The consequences are entirely physical. Remote participants need to see faces, not the backs of heads. A deep U-shape will always leave several people out of frame. Chairs need to swivel, tabletops must not block the camera axis, and heights have to work with the framing.
Connectivity becomes part of the furniture. Pop-up modules in the tabletop, cable grommets, trunking routed through the legs. Without them, extension leads snake across the floor and the first fifteen minutes disappear into plugging things in. Breakout work is loud. Four simultaneous conversations in an untreated room produce very real cognitive fatigue, which participants tend to blame on the content rather than the acoustics.
Absorbent wall panels, mobile screens, treated furniture backs: the solutions exist, and they cost considerably less designed in than retrofitted.
A simple method avoids most of the expensive mistakes.
Start by watching how the room is actually used over a quarter. Number of sessions, average length, group sizes, formats. An internal training centre running sessions daily and a room used twice a month call for very different answers.
Then define three or four target layouts. Not ten. Test them physically before buying, stopwatch in hand: if switching between two of them takes more than five minutes, that layout will stay on the drawing.
Size the technology at the same time as the furniture, never afterwards. And set aside storage from the outset, or modularity will evaporate by the second week.

Mutual visibility comes first. A clear camera field, swivel seating, and a return screen positioned so remote participants are visible from anywhere in the room. A second screen dedicated to faces makes a noticeable difference. Connectivity built into the tabletop removes the cable scramble at the start of every session.

Castors improve group rotations and comfort during long sessions, but complicate storage. In a multi-purpose room that also hosts meetings, mixing both types remains the most workable answer.
Good training room furniture is a balancing act: flexible enough to keep pace with how people teach, robust enough to absorb heavy use, comfortable enough to get through a full day without leaving anyone wrecked. The projects that work always start from how the room is genuinely used, never from a theoretical floor plan.
And the underlying trend isn’t going to reverse. Organisations are training more often, in shorter and more frequent sessions, with a growing share of people joining remotely. These rooms will absorb that pace for a decade before anyone refits them. Better to treat them as infrastructure now, rather than as a furniture line item.
